Product Page 3.0: Part 4 - Serialized Items

Important Note: It is critical that when you are setting up a product that will use serial numbers that before you save the item for the first time, you must toggle the item to Track Serialized Inventory in the upper right. After you save it the first time, you will NOT be able to change the setting pictured below.

 

Basic Product Details

Your basic information about the product, such as the Title, Department, Vendor, UPC, SKU, etc. will be entered as you would for any product and will apply to all serial numbers you enter. For more details on that part of the process, see the next article in this series about the Product Information tab.

For serial number specific information, you will set your pricing and enter your inventory following the instructions below.

 

Serial Number Pricing

Please Note: If you want to use different condition levels for your serialized items, you need to enable that and choose which conditions you want by going to Settings > POS Settings > Products. Turn the feature on near the top of the page, choose the Conditions you want to use, and then Save and they will be available for you in products you create that are serialized.

If you aren't using Serialized Inventory Conditions, you will set prices based on new item pricing only. If you have enabled conditional pricing, you'll see a table like the one below:

For pricing features you have active in the system, you'll see columns for each different type. Rows will display the different Conditions you have enabled in your settings. You can enter unique pricing for each price-type / condition combination, with the exception of MAP Price, which will only apply to Brand New items you sell. You can apply the pricing to all of your store locations by clicking the link in the lower right.

 

Serial Number Inventory

You can add and edit your serial numbers from the Inventory tab for a product that is set to use them. Here is how to enter and work with your serial number inventory:

  1. Inventory Tab - From this area, you can enter your serial numbers and set their costs and conditions.
  2. Location - Choose the store location in which you are entering or working with serial numbers.
  3. Serial Number - To enter a new serial number, add the alphanumeric characters in the number here. If they are already entered into the system, a warning will pop up letting you know.
  4. Condition - You can set the Condition level for the new serial number using this drop-down, which will display all conditions you have enabled for your store in the settings.
  5. Cost - This is the base item cost and is for the unit only, so it doesn't include secondary costs such as shipping.
  6. Extra Cost - This will include any costs you incurred for the item that are separate from the basic item cost above, so your freight charges, handling, and any other fees that would be applicable.
  7. Weighted Cost - This is an optional feature mainly used for sales representatives to understand how low they can price sales for the item.
  8. Receive Date - This is the date the inventory is received into the system. When manually entering in this area you can select future dates.
  9. Vendor Consignment - If the serial number you are entering is a Vendor Consignment item, you can check this box so that system will track its sale properly.
  10. Add Button - Once you have entered the information for your new serial number, click the Add button to add it into your active inventory.
  11. Status - For the serial numbers you have already saved for the item, you can set which item Statuses you want to view. By default, items that are In Stock and Reserved will display, but you can also view Out of Stock and Sold items if you need.
  12. Search - If you need to find a specific serial number, you can enter all or part of it here.
  13. Serial Number Information - For each serial number in your list, you can see the serial number, status, condition, cost / extra cost, weighted cost, receive date, and type (standard / yardage/meterage).
  14. Save - Once you've entered and/or edited what you need, be sure to save the item.
