You can get to this part of the system by clicking Reports then clicking on the specific report you need in the Inventory section.
Your Cost Depreciation Report is how you can track your depreciation expense for your rental inventory. For each item, you will see the Department, Title, Serial Number, the ID number of the Current Contract in which it is being rented, the item's Original Cost, Accumulated Depreciation, and its Book Value. You can click on the column headers to sort in descending/alphabetical order and click again to reverse. You can Search for specific items, filter by Department, Print the visible data, or Export it to a spreadsheet file (.csv).
Your Inventory report offers critical data about your products at each of your locations. It has two Views: the default view is All Inventory and will paginate to show all unique items saved in your system. There is also a convenient Low Inventory view if you need to check your items needing to be reordered. In both views you can filter by Location, Department, Vendor, Status ( Out of Stock, Low Inventory, Reserved, or On Hand), or you can search by keyword. For inventory count, you are able to see quantities In Stock that are On Hand and Reserved, just hover over the quantity number for In Stock. Like our other newer reports, you can configure the filters however you like and then click an Apply button to see the appropriate data. You can Print Current Page if you need a hard copy, or you can Export to download a CSV spreadsheet file of all the data in the current filters.
Your Inventory Age report will break down for you how long your items have been in stock, and can help you pinpoint items that have been around too long so you can move them along. Like our other newer reports, Inventory Age allows you to configure your filters and then click to Apply them all at once. You can filter by Location, Category, Department, Vendor, Status ( Active or Deactivated), and Inventory Age. There is a chart to help you visualize your inventory age and some useful data points about your overall inventory. Each line item has important details and can contain quantities that arrived in different shipments at different times in the On Hand section pictured below in the second line. You can Print or Export the data, and as with many of our item-based reports, for larger data sets you have have the system compile your export and you can Email it to the address of your choice.
By default your Inventory History report will display changes made the current day you are viewing. You can click on the date picker to adjust the Date Range, but please note, there can be a great many individual inventory quantity adjustments in larger date ranges and the system is limited by your browser and how much memory you have in your computer, so looking at the shortest possible date range for what you need is recommended. If you try a date range and the system doesn't load the data after thirty seconds, it is likely it won't be able to, so try a shorter range. Once filtered by Date, Location Department, and the Areas you want (item types), the report will display every inventory adjustment event that happened, including transactions, returns, and manual adjustments.
Your Inventory Value Report is one we recommend you work with once a month, at the least. With this report, you do not configure a Date or Date Range; when you run it, it will calculate the current value of the Locations, Departments, Vendors, and Bin Locations you have set in your Filters. Click the Run Report button to have the system show you your current inventory value. In the summary, you will see the Value (the total Cost of what you paid for the inventory), the total Retail Value, and the Quantity of total items you have in stock. All of this is broken down for you in line items for each Department in your results.
We also added the ability to Export Previous for recent months you have been actively using the system, as needed. Use the drop-list after clicking the Export Previous button to choose the month you want, and the download for that file will start automatically.
You can Print or Export your results, as you like. The printed output will show the Department view that you see above, but the Export will have the Summary as well as line items for each of your products, with full information about each item's Cost and Retail Price and Quantity in stock. This output can help you identify any items that still need to have Cost values entered for them, if you're missing any. It is very important that all of your items have Cost values in place since this report can then be used to report your inventory value to your various tax authorities.
This report is different from other reports we offer: It is a tool to help you see which of your products are performing well by selling at a High velocity, and which are performing at Average or Low velocity. You are able to focus this report on whatever sales time frame you like and see for that period how items that sold were performing: If they sold quickly after being received or if they sat on your shelves for a while before they started selling. For each of your Departments, you are able to define what High velocity and Low velocity is by setting a number of days. If an item in that Department has a sale within that time frame, it is selling at High velocity. You are also able to set the number of days for Low velocity for each of your Departments, so items that sell between the High velocity number and the Low velocity number would be selling at an Average velocity, and items that sell after the number of days you set for Low velocity would be your slowest sellers and would be selling at Low velocity.
The Inventory Velocity report, like many of our newer reports, allows you to configure your Filters as you like and then click Apply to view the updated data all at once. There are some interesting data points below the filters about your inventory velocity, and the table will show you how each item is performing. If needed you can click the toggle to Show Images so you can see thumbnails of each item. You are able to Print the current page, Export to download a CSV spreadsheet file, or if your export will take a while, you can have the system do it in the background and Email you the file.
Your Low Inventory Report will show you the current state of your inventory, and cannot be generated for historical data, so you will not see the Date field. Items are considered Low Inventory if they have inventory values entered for their Reorder Points and Desired Stock Levels and the current In Stock quantity is equal to or less than that Reorder Point. Please note that Reorder Point can be set to 0 as long as there is a Desired Stock Level saved.
Only inventory that has been set this way will display on your Low Inventory report, so regular inventory that reaches a stock level of 0 will not appear here. You can Print or Export your filtered results as needed.
To view any items you currently have ordered through our Purchase Order / Receiving Order system, you can use our Ordered Inventory Report. This is another report that does not require a Date or Date Range; you will see all items currently on order. If you are not using our Purchase Order / Receiving Order system, this report will not be of use to you. You can Sort the report by clicking on any of the column headers, and you can access the Purchase Order for any item in the list by clicking on the Purchase Order Number. You can also see how many of each item are on the way, as well as the Status, whether they have been Sent or are on Backorder. Received items will not show up in this report. You can Print or Export this report as needed.
To view the serialized inventory you currently have in stock, you can open the Serialized Inventory Report. As with the other inventory reports, it will show current status, so you don't have a Date field. Each individual serialized item will have a line-item entry in the report, and you can Filter as needed or search for a specific keyword to narrow your results. Clicking the product Title will open it in a side panel, where you can access all details and edit as needed. You can also Print your results.
