Services - Creating Labor-Based Items

The Services Page

The Services module allows you to create and work with labor-based services you provide. You can get to this part of the system by clicking on Inventory > Services in the main system menu. These services are available in the Work Orders module for use in creating work order tickets. You are also able to charge for services individually from the system Register.

On this page you can click to Manage Groups, which will allow you to add or edit as many Groups and sub-Groups as you might need. You can also create new services, or search for existing ones. The Search area will find your services by text you enter or by Service ID. If you search a fairly common term, such as 'cleaning', all services in your listings that contain that word will appear below in the Groups and in your list of Unassigned Services that have not yet been added to Groups.

If you select multiple Services with the checkboxes, there is also a Bulk Actions menu that will allow you to either Add to Group (in development, but coming soon!) or Delete. In the future, we will be adding the ability to download and upload spreadsheets of your Service data.

 

Working With Service Groups

Before you start creating your services, it's a good idea to make a framework of Groups in which to place them for best organization. Groups are like categories for your services. If you click the Manage Groups button, you can start creating your groups. Click the Add Group button and enter the name of your first top-level group, then Save. For example, if you do instrument repair, you might have your groups broken down by instrument type, such as Brass, Strings, Woodwinds, etc. So after you make your first Group, if it is going to need sub-Groups under it, you can click the action button on the right and create a sub-Group, which is exactly like a regular Group except it's not at the top level. You can create as my Groups and sub-Groups as you might need, and can go down as many levels as are necessary.

Creating and Editing Services

The data for your Services is very simple and easy to enter. To create a new Service, click on the Add Service button in the upper left. Each Service has an action menu (three-dot stack button) on the far right side that will allow you to either Edit or Delete the service. You can also click on the service's title to edit.

When you add a new Service or edit an existing one, you will need to give it a Name, and that doesn't have to be unique (you will be able to put it in a Group you've created). You are also able to give the Service a unique identifier similar to a product SKU, but for services, it is a Service ID. When you save the service, it will check to make sure the Service ID you've entered is not already in use by another service. If you like, you can click to Generate Service ID, and the system will enter a unique one for you. It is recommended you add each service to a Department so the system can track your revenues by Department in the reports. Descriptions are good if you have similar services and to describe what is typically being done. Your Cost is what you pay to have the service done and the Price is what you charge to the customer. If you enter both, the system will be able to track your profits and profit margin on the service.

If the service is something you pay commissions on to your repair tech and/or sales staff, you can toggle the Service to be Commissionable, and the system will track that for you. You are also able to add the service to the appropriate Group, if you've created your Service Groups. If you click Add to Group, you will be able to navigate the tree-structure of your Groups and click on the one in which the Service should be listed.

If you have similar services in multiple areas and want to save some time, you can Save & Duplicate a service to make a similar one that needs to be in a different Group. Once you're done with the new service's info, click Save to add it to the system. Your services will be usable in the Work Orders module, will be searchable in the Search Anything field at the top, and also in the Register item search area.
