Inventory Transfers Between Locations

If you have multiple Locations set up in Rain POS, each with its own unique inventory database, you can use the Transfers tool to move inventory as needed between your different locations.

 

Please Note: If you have only a single Location in the system, this tool will not display in the Inventory menu for you.

 

You can access the Transfers tool after logging into the system by clicking on Inventory > Transfers.

Transferring Inventory Between Locations

In cases where you need to transfer inventory from one of your locations to another, the Transfers tool under the Inventory menu will enable you to bring the system up to speed on the inventory you are moving over. For example, we have a product shown below that was part of a shipment recently received, and half of the inventory needs to be transferred over to the Denver location.

To work with transfers, in the blue Admin Toolbar, click on Inventory > Transfers, and you'll see the interface displayed below. You can search among different Statuses of transfers (Draft, Shipped, or Received), your different Locations, within a specific Time-frame, or if you know the ID number for a Transfer, you can enter it in the Search and go straight to it. To begin our test transfer, click the +New Transfer button.

First, Search for the item(s) you will be transferring. You can do this either by keyword, by scanning in a barcode, or entering a SKU, UPC, or Manufacturer ID.

Click on the search result that pops up under the search field, and you will load that item into the transfer. Search for as many items as you need. You can click to Bulk Select Items and a panel will open that will allow you to quickly add a large list of items to your transfer. You can also add Notes to a transfer as needed for as long as the transfer is in Draft status.

Next, enter the Transfer Quantity for each item. The Available Quantity is provided for your reference. You can click the button to Save Draft at any time if you need to come back to your transfer. Once you have everything in place, and ideally when the actual inventory is either in transit or about to be, click to Transfer Items, and that will save the Transfer, and it will be in a Shipped status.

Once the items arrive at the other location, someone can go into the Transfers list, find the transfer, click to open it, and then they can click to Receive Shipment. The inventory will then be added to that location, and the Transfer will be in a Received status.
