Custom Work Order Statuses

With this functionality you can create your own custom Work Order statuses as needed. Your new statuses will treat the existing statuses as 'phases' and each new status will tie to that core status. For example, you might have a step near the end of your repair process to do a quality check on the repair, so you might make a new status called QA Confirmation that relates to the In Process status. This integration ensures that all current status functionality continues to work while displaying custom names for statuses you create.
 


How to Create a New Work Order Status

  1. Go to Modules > Work Orders and find the Work Order you want, then click its Work Order ID to open it.
  2. In the Status area in the upper left, click the new Edit Status button. The Custom Status window will open.

  3. In the Name of New Status field, enter the name you want for the custom status.
  4. You will need to tie your new Status to one of the existing primary ones by clicking on the Status Type drop-list and selecting the appropriate 'parent' status: choose from Received, Pending, In Process, Ready for Pickup, and Completed.
  5. Click the Done button when you have it the way you want. Moving forward, your new Status will appear as a sub-status under the 'parent' you selected whenever you view your list of statuses, as pictured here with a few examples:

Using Custom Work Order Statuses in the System

Work Orders Module Page

On the Work Orders Module page, you'll see your new custom statuses in the Status column for Work Orders saved with them. In the Status filter, you'll be able to filter by the new statuses as well for any that are assigned to your Work Orders (you won't see the new ones if they aren't assigned to an active Work Order). You can also Search on this page by custom status name, if you like.

Work Orders in the Register

When you load a customer in the Register and open the Customer Actions panel using the icons in the upper right, for Work Orders with custom statuses you'll see the appropriate status, as pictured here.

Work Orders Visible to the Customer Using the Website Login

 Custom work order statuses will appear on the customer account page for work orders if in use, ensuring consistency across platforms.

Work Orders Settings Page

You can work with your Custom Work Orders Statuses and create new ones or delete existing ones from Settings > POS Settings > Work Orders at the bottom of the page. You can click the +Add New Status button to add a new status using the same window described above. You can also delete custom statuses, if needed.

Please note, if you delete a custom status that has Work Orders using it, they will revert to whatever the parent status is. So if we deleted QA Confirmation above, any work orders saved with that status would be moved to In Process.
