Bulk Serialized Inventory Count

You are now able to inventory items that are serialized in Rain POS as often as you need to count them. We have made a simple interface that just marks items you select and allows you to mark them as 'inventoried'.

This feature is currently in Beta, so if you wish to try it out, click on the Admin button in the upper right of the system that has your username and go to Beta Features. Find Bulk Serialized Count in Serialized Inventory Tool in the POS section and turn it on, then click Save.

 

 

Working With Serialized Inventory Counts

To inventory your serialized items, basically you'll be checking them off to count them in the Serialized Inventory tool. Go to Inventory > Serialized, and click the New Batch button in the upper right. Please note that you have to have a batch open in order to see the checkboxes.

When you create a new Batch, you'll see the following window:

You will need to Name your batch something intuitive, add Notes if needed, and if you have multiple Locations for your store in Rain POS, you will need to set the Location in which you are counting. Once you have your batch configured, you can Save it. Once it is saved, the new batch will open, and you'll see the name you created in the upper left. You will have checkboxes on the left side of the line items, and the ones for In Stock inventory will be active.

You are not able to inventory items that are not In Stock. If you have an item on-hand that is marked as Reserved or perhaps Sold and you took it back as a trade-in, you will need to work with the item to get the inventory into an In Stock status if you wish to count it.

Items that are selected in a different batch that is still open cannot be added to a new batch, so if you need to count them, you will either need to complete the batch in which they are selected or remove them from that batch.

Use the search and filters to find the items you wish to inventory. Here are the tools you have to work with in this new feature and how to use them:

  1. New Batch - Click this button to create a new serialized inventory batch.
  2. Show Batch Actions - Click this button to open the Batch Actions window. Actions are listed below starting with #5.
  3. Select / Deselect All - If you want to count most or all of the In Stock items currently displaying, you can check this box at the top of the column of checkboxes and it will select all. Click it again to deselect everything currently selected on the screen. Please note, deselecting all will not deselect any items you may have selected in a previous search or filtered view, only what is currently in view.
  4. Select Item - Checking a line-item's box will select the item and save it to the batch. Even if you reload the page or leave, the batch will still have the items you have selected.
  5. Uninventoried Items - This will allow you to filter for any items that have not been counted since your last inventory batch was completed. Use this when you need to count items that you didn't count in a previous completed batch at the Location. If you have not completed a batch at a location, the line item will say None Completed.
  6. Load Batch - Any batches you currently have open that have not been completed will be visible here, and clicking on the batch will load it onto the page so you can select more items to count.
  7. Edit Batch - This function will open a window to allow you to edit the Name of a batch, or add / edit Notes for the batch. Once a batch has been saved, the Location for it is not editable. If you are needing to add  more items to an active batch, you can Load it and do so.
  8. Delete Batch - For any batches that have not yet been Completed, you will see them in this list and if they are not needed, you can delete them. If you click to delete a list, the system will always ask you to confirm that you really want it removed.
  9. Show Selected Items - As you work with your batch, adding items and searching for more and adding those, you might want to check and see the list of all the items you've selected for the batch so far. Clicking this option will load all of the selected items into view.
  10. Clear Selected - If you want to start over completely with the items you are counting in your batch, clicking this option will deselect all items you have selected so far, even if they are not in view. Clicking this option will also always pop up a confirmation window to make sure you really want to deselect all items.
  11. Save and Close Batch - This button allows you to close the current batch loaded onto the screen and return to the standard Serialized Inventory tool view. All selections you will have made up to this point are saved to the batch and will be visible whenever you load the batch again to add more.
  12. Complete Batch - When you have selected all the items you want to inventory, you can click this button to Complete the batch, mark the items as inventoried on the current date, and permanently close the batch. When you click this, you will see the window below open so you can confirm you wish to finalize your count.

When it comes time to inventory your items again, just start a new batch and search for them as normal. If you need to view a completed batch, you can do so by loading it from your list.
